Job Title: Engineering Coordinator – Commercial, IT & Admin Support
Reports to: Engineering Director

Job Purpose

Provide essential administrative and technical support, ensuring the smooth and efficient operation of commercial engineering projects.

This role involves close collaboration with various teams and is central to maintaining project timelines, quality standards, and communication flow.

Key Responsibilities

Project Coordination & Support

  • Coordinate activities across different engineering disciplines and inter-discipline teams.
  • Participate in the planning, design, and development of projects, ensuring all work is completed to high standards and delivered on schedule.
  • Analyse and forecast development requirements to support strategic and operational decision-making.
  • Provide bid and tender support.
  • Manage the engineering team’s calendar.
  • Manage logistics and daily operational planning.

Technical & Administrative Assistance

  • Carry out technical administration activities associated with engineering delivery.
  • Prepare quotations, invoices, permits, and engineering documents.
  • Provide a wide variety of administrative assistance to managers, including managing work orders and customer communication.
  • Ensure all customer development projects, systems, and procedures comply with internal and external regulations, security principles, and standards.
  • Assist technicians with their daily equipment inspection logs and reports.

IT Support

  • Zoho customisation and integration, process and workflow management.
  • Zoho-related technical support and problem-solving.
  • Knowledge of various Zoho products.

Reporting & Communication

  • Prepare and provide operational metrics and reports to the Engineering Director to support company objectives and planning.
  • Communicate project progress and prepare reports as needed.
  • Conduct end-of-day reporting and follow up on confirmed bookings.
  • Brief technicians before they start a job.
  • Coordinate with the sales, accounts, and site teams to ensure seamless operations.

Human Resources & Process Improvement

  • Develop and implement improvements to service delivery and processes.
  • Manage internal and external development resources, both in the UAE and other locations.

Skills & Experience

Skills

  • Possess a strong mix of organisational and administrative skills to manage multiple tasks, schedules, and reports.
  • Strong organisation skills.
  • Strong attention to detail to ensure accuracy in all documentation and data entry.
  • Excellent communication skills, both verbal and written, to convey technical information clearly and concisely.
  • Strong problem-solving abilities to quickly identify issues and find effective solutions.
  • Technical proficiency in Microsoft Office Suite, Zoho CRM, Zoho Books, and Script Programming.

Experience

  • Previous experience in an administrative or coordination role, preferably within a technical, engineering, or maintenance company.
  • Proven experience in managing calendars, reports, and administrative tasks in a fast-paced environment.

Qualifications

  • Bachelor of Engineering in Civil / Computer Science.
